What are the next steps?

The following are the next steps towards signing up your group as a Company Client of The Company Car.

#1 – Client Agreement

#2 – Please sign credit card authorization

To authorize use of $500 on a credit card.  We will not “hold” this money on your card; we will always notify you before using it.  This is mandatory for all Clients.

#3 – Please authorize or send payment

We can meet at your office to issue lock box keys once On-line Orientations are complete.  At that point we will need the Company Client Application Form and the Credit Card Authorization Form (filled out and signed) and a payment for the deposit presented at the meeting.  Payments can be made by cheque or by authorizing the amount on a Credit Card Authorization Form. Please make cheques payable to The Company Car.

The amount depends on the number of drivers.  There is a $20 non-refundable registration fee for each Driver, plus a refundable deposit of:

For example, for 25 Drivers the amount would include a $1000 refundable deposit plus a non-refundable $20 registration fee for each Driver, for a total of 25 × $20 = $500 + $1000 = a payment for $1500. 

#4 – Each driver will need to:

  1. email us Driving Record and Claims History.

    Drivers:  What we will need is a record of your driving experiences in the last three to five years. If:

    • you have had a BC driver's licence for three years or more, your ICBC records will be sufficient.  Please contact ICBC Driver Services at 604.661.2255 (extension 5), or toll-free 1-888-715-7775 at no charge.  Ask for both documents – Driver's Abstract and Claims History – and, for no charge, have them emailed to us at:  .
    • you have been driving fewer than three years in BC (and a total of 3 years or more – somewhere else) you will need to submit additional documents from your old driver’s licence within one month of joining TCC.  Links to other provincial licensing authorities can be found at the Canadian Council of Motor Transport Administrators.
    • you are from somewhere outside of Canada or the USA, we still require your ICBC records (see above) as well as for you to write us a letter stating:
      1. the year you started driving and
      2. the # of traffic violations [speeding ticket, running a red light, ignoring a stop sign, etc.] you have had (and which country you received them in) in the past five years
      3. the # of at-fault accidents you have had in the past three years.

  2. complete the Online Orientation.
  3. fill out the Driver Agreement.

  4. schedule a meeting to show us your driver's licence photo so we can issue you a key and fob.

Bonus: – TransLink's Employer Pass Program

Drivers can sign up for TransLink's Employer Pass Program – giving them monthly transit passes for 15% off when they sign up for a minimum of one year. This is great for organizations with fewer than 25 employees as TransLink currently requires a minimum of 25 participating staff members. If interested, please download the form below, print it out, and bring it to the sign-in. On this form, above "Name of Employer" please write "Co-operative Auto Network". The $15 Translink sign up fee, a $20 registration fee per enrollee (paid only if the enrollee is not already paying this fee for driving privileges) and monthly charges for the cost of the transit pass will appear on your Company Car invoice. Please note that it's your organization's responsibility to retrieve the pass of an employee who is no longer with your organization and request that we cancel that pass. How long will it take to process our application?

Once your group has decided to give The Company Car a try and the above steps have been completed, please contact us to set up a time for our staff to meet you and your drivers.  We can come to you for a minimum of 4 drivers registering at one time.  We would simply need to see photo ID and deliver fobs.  You can start using Co-op cars as soon as we have all the necessary documentation and fees have been paid as outlined above.
